How to choose accounting software for a small business in 2026: The entrepreneur's guide
SmartBill? Oblio? Saga? Excel? Accounting firm with their own software? Here is how to decide in 20 minutes, without reading 15 marketing articles.

Why choosing accounting software is hard when starting out
You are a first-time entrepreneur, or you have a small company that has been running for 1-2 years and has outgrown Excel. You Google "best accounting software for small business" and get 50 articles telling you that "theirs is the best". None of them ask about your business profile.
This guide is different. It's not selling you anything. It guides you in 20 minutes through 4 simple questions that tell you exactly what you need.
Question 1: Do you handle accounting yourself or through a firm?
External accounting firm (~70% of RO SMEs) → you need invoicing + management software (you) + accounting software (the firm). The two talk to each other via standardised exports (XML/Excel) or via API.
In-house accounting (the company has an internal accountant or you are an entrepreneur with accounting knowledge) → you need an all-in-one program covering both invoicing and accounting.
You want to do it yourself without an accountant → this is only legal for Sole Traders (PFA) / Sole Proprietorships / micro-enterprises with low turnover. See our separate article "Can I handle accounting myself with Saga?"
Question 2: How many invoices do you issue monthly?
<10 invoices/month (Sole Trader, consultant, freelancer) → Oblio Free or SmartBill Start (10 €/month). The software cost should not exceed 1% of turnover.
10-100 invoices/month (classic micro-enterprise) → SmartBill Premium (~25 €/month) or Oblio Business (~20 €/month). Cloud-based, e-invoicing integrated, accessible from anywhere.
100-1,000 invoices/month (operational SME) → Saga Soft + firm on Saga C (~150 €/month total) or SmartBill Premium + Accounts (~200 €/month). Here Saga wins on cost if your firm is "on Saga"; SmartBill wins on experience if you sell online.

Question 3: What sales channels do you use?
Classic B2B invoices only (consultancy services, monthly contracts) → any program works. Choose based on price and ease of use.
Online store (Shopify, WooCommerce, PrestaShop) → SmartBill or Oblio have the best native integrations. Saga requires an intermediate connector.
Marketplace (eMAG, Amazon, Glovo, Wolt) → no classic accounting program handles this well. You need middleware that normalises marketplace settlements. See Marketplace Connector.
EDI with retailers (Carrefour, Auchan, Kaufland, Lidl, Mega Image) → Saga + Azuvio (or any serious ERP + Azuvio). SmartBill/Oblio do not do native EDI.
Multi-channel (B2B + e-commerce + marketplace + retail) → any classic program + Azuvio as an operational layer on top. The solution isn't "choose the perfect program", but "keep the program + add a layer".
Question 4: Your annual budget for software
0-500 €/year → Oblio Free + classic accounting firm, OR SmartBill Premium
500-2,000 €/year → SmartBill Premium + Accounts, OR Saga Soft + Saga C firm
2,000-10,000 €/year → Saga + Azuvio Smart Layer, OR full SmartBill + Azuvio

Costly mistakes to avoid
1. "Buying an ERP from the start so I don't change in 2 years" — Trap. Enterprise ERPs for new companies are overkill 99% of the time and consume unnecessary cash in the first 2 years when you need it for growth.
2. "The cheapest is the best" — Reverse trap. Oblio Free is excellent for <10 invoices, but at 200 invoices/month without SAF-T reports, it will cost you more in lost time than the price difference.
3. "Choosing SmartBill because my friend uses it" — The right program depends on your business profile, not your friend's. Profile A is different from profile C.
4. "Changing the software when I scale" — The truth: 90% of "I need to change the software" is solved by adding an operational layer, not replacing the software. Your accounting firm will be upset if you force them to learn new software.
