What you really need to know: total annual cost, all-inclusive
The official WinMentor website does not provide a public price list—they prefer custom quotes. In reality, market prices are fairly stable, varying based on selected modules and user count. Here is what we have seen in 2025-2026 across dozens of companies.
1. WinMentor Base License
The "standard" version (single-user or 2-3 users on a local network):
Minimum package (Accounting + Invoicing): €800-1,200 initial cost + €300-500/year maintenance
Complete package (+ Inventory + Payroll + Fixed Assets): €1,800-2,800 + €600-900/year maintenance
WinMentor Enterprise (SQL Server, 5+ users, multi-company): €5,000-15,000 + €1,500-4,000/year maintenance
2. Optional Modules (Most Popular)
SFA Module (Sales Force Automation): €800-1,500 + €200-400/year per agent (depending on mobile licensing)
Retail Module (POS): €500-1,200 per station
Production Module: €1,500-3,500
Restaurant/HoReCa Module: €800-1,800
WMS Light (Warehouse locations): €1,000-2,500
ANAF e-Factura Connector (Romanian tax authority e-invoicing): Currently free (included); historical cost was €200-400
3. Implementation (The Budget Trap)
This is where companies MAJORLY underestimate:
Standard implementation (1 company, 1 location, ~5 users): €2,000-5,000
Medium implementation (multi-inventory, SFA, 10-20 users): €5,000-12,000
Complex implementation (Enterprise, multi-company, customizations): €15,000-40,000
Includes: installation, account configuration, item master data import, opening balance migration, 2-4 days of initial training, report customizations.
4. Ongoing Training
New accountant training: €200-400/day
Operational user training: €150-300/day
Annual refresh for major upgrades: €500-1,500
5. Hardware / Infrastructure (Often Forgotten)
WinMentor desktop requires a physical or virtual server + SQL Server (for Enterprise):
Local server (Windows network): €1,500-4,000 one-time
Cloud/VPS server for remote access: €50-200/month
SQL Server (for Enterprise): €1,000-5,000 Microsoft license
Total Cost — Real Example
FMCG Distributor, 25 employees, 1 warehouse, 6 field agents:
WinMentor License + Inventory + Payroll + SFA: ~€3,500
Implementation: ~€8,000
Server + IT setup: ~€3,000
Training: ~€2,000
TOTAL Year 1: ~€16,500
TOTAL subsequent years: ~€1,500-2,000/year maintenance + ~€1,000/year small customizations = ~€2,500-3,000/year
Pitfalls to Avoid
1. "Maintenance is optional" — Technically yes, practically NO. Without it, you won't receive statutory reporting updates (SAF-T, e-Invoicing, VAT changes). Pay for it.
2. "I'll implement it myself" — You risk misconfiguring accounting charts or nomenclature structure. The cost of reconfiguring after 6 months > cost of professional implementation.
3. "I'll go straight to Enterprise, just to be safe" — If you have 5 users, you don't need Enterprise. You are buying unused overhead.
"What if I need e-commerce / marketplace / EDI?"
WinMentor does not handle these natively. Add an operational layer on top: Azuvio for WinMentor — it pulls orders from online shops / marketplaces / Retail EDI and pushes them into WinMentor. Azuvio costs: €9-99/month/user (see pricing) — much cheaper than changing your ERP.
Conclusion
WinMentor realistically costs €12,000-20,000 in the first year for a mid-sized distribution company, then €2,000-3,000/year. Very cost-effective compared to enterprise alternatives (SAP B1: €50-150k/year). The trap is rushed implementation — invest in it, or you'll pay double later.
