Charisma ERP + ecommerce (Shopify / Magento / WooCommerce) — how to connect correctly (2026)

What you need to synchronize
Integrating Charisma ↔ online store requires synchronizing 4 main flows:
1. Charisma product catalog → store — new items, name/description changes, attributes, images
2. Charisma real-time stock → store — availability per item, per warehouse
3. Charisma prices → store — list price, special prices, discounts, B2B prices per customer
4. Store orders → Charisma — new order → created in Charisma as a document → triggers picking, invoicing, delivery
5. Charisma order status → store — confirmed, shipped, delivered, cancelled
6. Charisma invoicing → store — PDF invoice + link to e-Factura (via ANAF, the Romanian tax authority)
Connection options
Option 1: Standard Connector (TotalSoft or partner)
TotalSoft offers connectors for:
Magento 2
Shopify (more recent)
WooCommerce (partial)
PrestaShop
Cost: €5,000-15,000 setup + €1,500-4,000/year maintenance. Stock sync: every 15-60 minutes (NOT real-time in all cases).
Option 2: Middleware ESB (Mulesoft, Boomi, n8n)
For enterprise companies. High setup cost (€20-50k), maximum flexibility. Requires an internal IT team.
Option 3: Smart Layer OMS (Azuvio)
The Azuvio OMS connects to Charisma + 5+ digital channels (Shopify, Magento, WooCommerce, PrestaShop, BigCommerce) + 5+ marketplaces (eMAG, Cel.ro, Altex Marketplace).
Advantages:
Real-time stock sync (under 30 seconds latency)
Channel-specific rules (reserved stock for eMAG, different prices on Shopify, throttling for promotions)
Adding a new channel: 1-2 weeks (drag & drop config)
Unified dashboard: sales per channel, margin per channel, top SKU per channel
Cost: €12-25k/year for the full package (multi-channel, marketplaces included).
Standard connector limitations
1. Stock sync is not real-time — during flash promos, you sell stock you don't have. Oversell → cancelled orders → negative reviews.
2. B2B prices per customer are not supported — the store displays a single price. For B2B with personalized pricing, a separate B2B portal is required.
3. Marketplaces (eMAG, Cel.ro) are not included — the standard connector is only for your own store platform. eMAG requires a separate connector (€5-15k).
4. Gift cards, loyalty, subscriptions — not natively supported. Require expensive customizations.
5. Returns / refunds — the reverse flow (customer returns product → store → Charisma) is often manual.
Common errors and their impact
1. Item active in Charisma, but not published in the store — wrong sync config. Solution: Check the "Publish online" box per item in the master data.
2. Different price between Charisma and the store — store cache did not invalidate. Solution: Webhook on price update.
3. Order fails in Charisma without a customer — the store customer does not exist in Charisma. Solution: Auto-create customer upon the first order.
4. Wrong VAT on invoice — store uses 19% default VAT, but the non-RO EU customer is exempt. Solution: VAT rule per customer country + EU VAT ID validity check.
5. Store stock = 0 but Charisma has stock — the synchronized warehouse is different from the actual one. Solution: Define dedicated "ecommerce warehouses".
Best practices
1. Dedicated ecommerce warehouse — allocate physical or virtual stock specifically for the online store. Avoid conflicts with direct sales.
2. Prices in Charisma, not in the store — the store displays what it receives from Charisma. Do not change prices manually in the store (they will be overwritten at the next sync).
3. Real-time for stock, batch for catalog — stock requires instant webhooks, but adding new items can run every 15 min.
4. Logging and audit trail — every order, every sync — persistent logs. Essential for debugging when "an order has disappeared".
5. UAT environment — test Charisma or store updates in a staging environment with a replicated connector. Never in production.
Real-world case (representative scenario)
Home appliances distributor, Charisma + Magento, 800 online orders/month. With standard connector:
Stock sync at 30 min → oversell ~3% of orders → 24 cancelled orders/month → ~€6,000/month in lost sales + negative reviews
Adding eMAG = 6-month project, €25k
Switch to Smart Layer OMS:
Real-time stock sync → oversell under 0.3% → €5,500/month saved
eMAG operational in 3 weeks
Smart Layer ROI: 4 months
*Representative scenario — figures vary based on volume and mix.*
Conclusion
Charisma can be connected to ecommerce with a standard connector for simple scenarios. But at scale (multi-channel, marketplaces, aggressive promotions, B2B + B2C), the Charisma + Smart Layer OMS approach eliminates 80% of sync errors and opens new sales channels quickly. See "Charisma Limitations".
