What is a journal entry?
In Charisma, a journal entry is the electronic representation of an accounting note — consisting of at least two lines (debit + credit) that record a financial transaction. Each journal entry includes: a reference number, date, description, journal type (sales, purchases, treasury, general, etc.), partner (if applicable), total value, and line items with debit/credit accounts and amounts.
Main types of journal entries in Charisma
1. Sales Journal — issued invoices, credit notes, and other revenue
2. Purchase Journal — received invoices, vendor debit notes
3. Treasury Journal — receipts, payments, bank transfers
4. Payroll Journal — payroll statements, statutory contributions
5. General/Mixed Journal — miscellaneous operations (accruals, depreciation, adjustments)
6. Inventory Journal — goods receipt notes (NIR), consumption vouchers, warehouse transfers
Structure
Each document contains: a header (date, partner, total value) + lines where debit must equal credit. Charisma prevents saving if the document is not balanced (debit ≠ credit).
The Closing Process
Journal entries move through specific statuses: draft → validated → posted → closed. After the monthly closing, the documents for that period become read-only (except for adjustments performed with special administrative rights).
Common Errors
1. Incorrect Account — corrected via a reversal document + re-entry
2. Incorrect Partner — corrected while in draft; cannot be changed after validation
3. Missing Document in Reports — check the journal type + status (it is likely still in draft)
Conclusion
The journal entry is the 'atom' of Charisma ERP. Understanding its structure is fundamental for any accounting user or auditor.
