Who needs this
Any business selling retail to the public (shops, HoReCa, service centers) — a legal obligation to use a fiscal cash register connected to the tax authority (AMEF — Electronic Fiscal Marking Device).
Cash registers supported by WinMentor
WinMentor features certified drivers for most common models: Datecs, Daisy, Activa, Tremol, Custom, Sapel. Check the exact WinMentor version + register model compatibility before purchasing.
Physical connection
1. Serial RS232 cable (classic models) or USB / LAN (modern models).
2. Install register driver on the WinMentor station (usually provided by the manufacturer).
3. Port + baud rate configuration in WinMentor → Settings → Cash Registers.
4. Communication test — send a reserved command and verify the register prints.
Inventory synchronization
The cash register must recognize your items to print the name on the receipt. WinMentor exports the nomenclature (code, name, price, VAT rate, department) to the register, either periodically or upon changes.
Limitation: Registers have limits on items (typically 1,000-10,000) and characters per name (16-32). For stores with a large assortment → use "department" + scanned code instead of nominal items.
Sales workflow
1. Customer at the counter → operator scans product.
2. Register prints fiscal receipt → sends transaction back to WinMentor (real-time or end-of-day batch).
3. WinMentor reduces stock + records the retail sale.
4. The register sends AMEF data to ANAF (the Romanian tax authority) automatically (standard for all modern fiscal devices).
Statutory reporting (AMEF)
A4200 = XML profile containing Z reports (daily closing of the register). Sent automatically by the device to the tax authority via internet (integrated GPRS / WiFi module).
WinMentor reconciliation: Cash register sales totals vs. WinMentor totals — they must be identical. Differences = problem (operator missed a scan, or register failed to sync with WinMentor).
Common errors
1. Register and WinMentor out of sync — operator changes price on the register without updating WinMentor → discrepancies at day-end closing.
2. New items added only in WinMentor — operator scans at the register, device does not recognize the code → error.
3. Outdated register driver — WinMentor was updated, but the driver wasn't → communication failure.
4. Z-reports not posted on time → Tax authority (ANAF) flag.
Conclusion
Cash register + WinMentor = a mandatory duo for retail. Configured correctly (current driver, synced inventory, daily reconciliation) = zero tax authority headaches. Left unmanaged = fines + in-depth fiscal audits.
